Lost Your Passport in China? Here's Your Step-by-Step Guide to Getting Back on Track
Traveling is all about adventure, not about misplaced documents. While losing your passport is definitely not on anyone's itinerary, it's a situation that can be managed. The key is to stay calm and follow these essential steps.
Step 1: Report to the Nearest Police Station
Your first port of call is the closest police station to report your lost passport. You'll need to obtain a police report, officially known as a 接处警登记表. During this process, officers will inquire about your travel itinerary, the last time you saw your passport, and if you've thoroughly searched. They may review security footage along your route to verify your account and potentially locate where the passport might have been dropped. In my own experience, the police not only reviewed cameras but also guided me back along my exact path to retrace my steps and search for the missing document. After this, you'll return to the station to give a statement and receive your police report. It's crucial to have a Chinese phone number for them to contact you.
Step 2: Obtain a Certificate of Lost Passport
Next, head to the nearest Exit and Entry Administration Bureau (出入境管理局) to get a Certificate of Lost Passport (护照丢失证明). You'll need to bring the following documents:
- A photocopy of your passport (or a photo if you have one)
- A photocopy of your visa (or a photo if you have one)
- Your police report (接处警登记表)
A pro-tip from my travels: always keep digital copies or photos of your important personal documents before your trip. These can be incredibly helpful in situations like this. I had a photo of my passport from when I applied for my visa, and the visa agency also provided a copy, which sped up the process considerably. After verifying your information, they will provide photocopies of your entry records (口岸出入境记录详细信息) and visa details (外国人鉴证详细信息) for your review. Note that the visa details won't include your most recent visa as you haven't exited the country yet. Step 3: Apply for a Replacement Passport
You'll need to visit either the Vietnamese Embassy or Consulate to apply for a new passport. Vietnam has consulates in five Chinese cities: Shanghai, Guangzhou, Nanning, Kunming, and Hong Kong. The sole Vietnamese Embassy in China is located in Beijing. Here are the addresses:

Bring your police report (接处警登记表), your Certificate of Lost Passport (护照丢失证明), and passport-sized photos to the embassy or consulate to apply for a temporary passport, valid for one year. You can often pick up your temporary passport the same day you apply. They will retain your original Certificate of Lost Passport and provide you with a photocopy.
Step 4: Register Temporary Residence
The process of getting a new visa and passport can take approximately 7-10 days. During this period, you'll need to register your temporary residence at the local police station in the city where the Vietnamese Embassy or Consulate is located. In Nanning, for instance, you can complete this process via WeChat by searching for 南宁警方.
Step 5: Get Your Photo Taken for Official Documents
Visit a local photo studio to get passport-sized photos taken and obtain a receipt for valid digital photos for entry and exit documents (出入境证件数字相片采集回执). You'll need this receipt when reapplying for your visa at the Exit and Entry Administration Bureau. It's advisable to get about 5-6 copies printed. Simply tell the photo studio you need photos for a passport and visa, and they will know the correct dimensions.
Step 6: Reapply for Your Visa
Return to the Exit and Entry Administration Bureau to reapply for your visa. You will need the following:
- Your police report (接处警登记表)
- A photocopy of your Certificate of Lost Passport (护照丢失证明)
- 4 passport-sized photos
- Your valid digital photo receipt (出入境证件数字相片采集回执)
- A photocopy of your new passport
- A photocopy of your old visa
- A completed application form (外国人鉴证证件申请表)
After completing the application, you will receive an appointment slip and pay a visa fee of approximately 400 RMB. Collect your visa on the appointed date. Once you have your new passport and visa, you can travel back home as usual.
